Operations Assistant

As an Operations Assistant (0.8-1 FTE ) at Keiron, you will work alongside a talented team of professionals, playing a critical role in supporting the team’s day-to-day operations. You will provide administrative and operational support to the procurement, logistics, and finance functions. The role focuses on ensuring the accurate and timely processing of purchase orders, goods receipts, inventory transactions, and supplier invoices.
The Operations Assistant works closely with internal departments, suppliers, and logistics partners to support the smooth flow of materials and information throughout the organization. This position is ideal for a detail-oriented professional who enjoys coordinating administrative processes and contributing to efficient business operations.
Key Responsibilities
Procurement Administration:

Create and maintain purchase orders in the ERP system.

Follow up on purchase order confirmations and delivery schedules.

Support supplier communication regarding orders, deliveries, and documentation.

Assist in obtaining supplier quotations and collecting pricing information.

Register and process incoming materials and goods receipts.
-
Verify delivery notes against purchase orders.
-
Support inventory administration and stock accuracy.

Monitor inventory levels and report shortages or discrepancies.

Assist with coordinating shipments and deliveries with logistics providers.
Logistics & Inventory Support:

Register and process incoming materials and goods receipts.

Support inventory administration and stock accuracy.

Invoice Administration:

Process and record supplier invoices.

Match invoices with purchase orders and goods receipts.
Operational Administration:

Maintain accurate operational data and records in company systems.

Prepare basic reports on purchasing, inventory, and logistics activities.

Support document management and filing activities.
General Support:
- Provide administrative support to the Operations, Procurement, and Logistics teams.
- Coordinate communication between internal stakeholders and external suppliers.
- Assist with scheduling meetings and tracking action items.
- Support day-to-day operational activities as required.



What You’ll Bring
- MBO+, Logistics, Supply Chain Management, or a related field.
- Experience in an administrative, operations support, procurement, or logistics environment is preferred.
- Experience with ERP systems is an advantage, such as Oracle NetSuite.
- Proficiency in Microsoft Office, particularly Excel.
- Strong administrative and organizational skills.
- Excellent attention to detail and accuracy.
- Good communication skills in English, both written and spoken.
- Team-oriented and service-minded attitude.
- Proactive and reliable work approach.
